Report Administration

 

Tournament Directors can access the online sanction form and upload TMS tournament reports or text (.txt) documents to their individual tournaments home page on www.usta.com. This new functionality allows Tournament Directors to upload reports they create from TMS or their own Text documents created with their own application. This can be done by following the instructions outlined below:

 

Reports from TMS:

 

  1. When you create reports in TMS that you want to be visible on your Tournament Home Page, first you need to export it to an ASCII/Text format.  This can be done by clicking on the export to ASCII icon on the toolbar on the top of the report.  The icon is indicated below.  (Need help creating reports?  Email linkteam@usta.com for assistance)

  1. Choose where to save the file.  It defaults to TMS but it may beneficial for you to save this to a file location (example:  "to C drive, My documents, etc) other than the default file location within TMS.  Just remember where you saved your file, as you will be asked to locate it later. 

Uploading your file

 

  1. Access the online sanction form by going to www.usta.com and then choosing tournaments on the left side navigation bar.  Choose Schedule Administration on the bottom left.  Sign into the online sanction form area.  Choose the tournament that you want to add your created text documents.
  2. Choose Reports Admin Link on the left side.
  3. Type in a descriptive name for the file (ex: First Match Times) in the report name field. (The name of your report will show on your tournament home page.  This can be the same name as the file name, but it is not required.  Users might recognize First Match Times, but not file name 123.
  4. Choose Browse.  Locate the file that you want to upload.  And choose Open.  This will place the file name and location in the browse field.
  5. Repeat steps 3 & 4 to add additional reports.  You will have an opportunity to upload more than the 3 initial reports should you choose to do so. 
  6. When you are finished indicating your reports, choose upload.  The system will take a few moments while it uploads the documents.  Connection speed to the Internet will determine the necessary time to complete this process.
  7. Upon completion, you will see a screen similar to the following:

    1. Delete the document by clicking on delete.
    2. Edit the document by clicking on edit.  If you choose to make changes to your file in this format, it will change the current document that is displaying on your tournament home page.  It will not change your document that is saved on your local C drive.
    3. Click on the report name to preview your report.
    4. Click on display before exiting so that the report will appear on your tournament home page.  If this is not clicked, then it will not display.  This feature allows you to upload numerous reports, but only display them when you indicate. 
  1. When you are finished, you can exit the system. 

Note: If you will be uploaded a new file each day (ex: next match time report) be sure to delete the previous report as the system will allow you to have several reports with the same descriptive name.

 

Viewing your Report from the Tournament Home Page

 

1.      You can go to your tournament home page to see the results of your uploads by clicking on Searchable Schedule on the left side

    1. Locate your tournament by indicating the appropriate search criteria and choose Find it.
    2. Click on the tournament from the search results.  You will be brought to the Tournament Home Page.
    3. On the tournament home page, you will see a Reports Heading (just above tournament messages) with the uploaded report titles listed below.  Clicking on the report name will display the report.  The Reports heading will only be displayed if you have uploaded reports that you are displaying.
